PEOPLE + OPERATIONS COORDINATOR

THE ROLE:

Reporting to the VP, People + Culture, with a dotted line to the Chief Operating Officer, the People + Operations Coordinator will provide support across a broad range of programs and activities that enable Smash + Tess to be a great place to work. As a key point of contact for our team members, this role will be responsible for a unique blend of tasks related to people + culture, facilities management, administration, and operations. The successful candidate in this role will be detail-oriented, organized, and passionate about great employee experience and culture in a workspace.    

KEY RESPONSIBILITIES:

+ Alongside the VP, People + Culture, co-develop, manage, and deliver onboarding and training programs for new hires: covering culture, product knowledge, health + safety, etc. 

+ Manage workspace requirements and planning for new and current team members, overseeing moves and ordering equipment and furniture as required 

+ Oversee ongoing health + safety programs, and facilitate WorkSafeBC administrative requirements 

+ Support the creation and execution of internal communications processes and content, alongside the VP of People + Culture 

+ Provide coordination support to People + Culture programs and processes as required, including: recruitment, training + development, total rewards management, reporting etc 

+ Provide systems and implementation support across people operations systems, including the HR information system 

+ Oversee the staff discount purchase program 

+ Track office, warehouse, and cleaning supply levels and place orders as required 

+ Manage day-to-day communication and troubleshoot issues with facilities-related vendors 

+ Receive front door deliveries, and greet visitors to our Bridgeport head office Monday - Friday, directing their inquiries accordingly 

+ Coordinate with security and recycling / waste partners to ensure both work locations are clean and secure  

+ Ensure a high-quality, clean, and enjoyable workspace for our team, making suggestions for continuous improvement, and executing approved workplace enhancements

+ 2-3 years experience in an operations, facilities, and/or HR coordination role

IT COORDINATOR

THE ROLE:

Reporting to the Chief Operating Officer, the IT Coordinator will support a relatively small but rapidly growing IT infrastructure, and be the go-to person for implementing, maintaining, and troubleshooting  systems and solutions across Smash + Tess. As a key point of contact between technology vendors, suppliers, and internal stakeholders, the successful candidate in this role will  have strong project management skills, be impecable at translating technical language to various audiences, and relentlessly focused on providing a great user experience.    

KEY RESPONSIBILITIES:

+ Project manage the implementation of enterprise systems, including an Enterprise Resource Planning, Warehouse Management Software, and  other software used across Smash + Tess in all areas (finance, human resources, marketing, etc).  

+ Liasing between various IT vendors and suppliers, including managing respective contracts and budgets  

+ Supporting the initial set-up of new hires and providing ongoing end-user assistance from a technology perspective (setting up emails and hardware, managing systems access, providing software training, etc) 

+ Reviewing existing systems and technology use and present recommendations to improve effectiveness, data security, and return on investment  

+ Making equipment recommendations (computers, phones, teleconferencing)   

+ Managing technology asset inventory  

+ Provide communication to staff regarding updates, changes, and enhancements to systems 

+ Support in generating relevant reports and KPIs to evaluate technology platforms and practices 

+ Contribute to cross-functional projects as required 

QUALIFICATIONS:

INVENTORY SPECIALIST

THE ROLE:

The Inventory Specialist is responsible for allocating, tracking, and reconciling our inventory across all sales channels and distribution centers (both physical and virtual). This role ensures our product is in the right place, at the right time, to ensure an optimal sell-through and customer experience.Working with teams across the Product, Operations, Brand, and Finance departments, this role advises and informs decisions related to production orders, order fulfillment, campaign strategies, and financial forecasting.

KEY RESPONSIBILITIES:

+ Monitors, updates, and oversees inventory levels within our ERP, Xorosoft, daily

+ Creates, uploads, and tracks all SKU information

+ Provides relevant inventory updates and reports on a monthly and quarterly basis, and after key product launches and brand campaigns

+ Communicates and works with distribution centers to perform monthly inventory counts and any additional product audits

+ Allocates and moves inventory between virtual warehouses to ensure inventory levels are optimized across all Shopify sites

+ Monitors inventory levels during campaign launches to ensure there isn’t overselling or inventory discrepancies

+ Update inventory levels based on returns and damages information+ organizes and prioritizes inventory that can be shipped by order fulfilment to meet our service level agreement

+ Works with product and brand team to determine sell-through strategies on season stragglers or old inventory

+ Troubleshoots inventory issues

Marketing Coordinator

THE ROLE:

Under the leadership of the Marketing Campaign Specialist, this position is responsible for supporting marketing activities across channels, coordinating and executing marketing campaigns, and evaluating marketing opportunities aligned with department and organizational goals. The Marketing Coordinator, working closely with the Marketing Campaign Specialist and Marketing team, will ensure excellence across campaign activities, provide campaign ideation to support strategic goals, and innovate to develop new channels aligned with marketing goals and brand values. A successful candidate will be organized, proficient in a variety of data and analytic tools, and able to juggle multiple projects at once with strong communication and interpersonal skills. The position accomplishes this through a respectful, constructive and energetic style, guided by the objectives of S+T. 

KEY RESPONSIBILITIES:

+ Work with the marketing team to support S+T campaign and events framework, strategy and execution

+ Coordinate and execute campaigns to meet customer needs and achieve brand, business, and channel objectives  

+ Interact cross-functionally, especially with the customer service and product teams  

+ Work with external partners and collaborators when needed

+ Oversee marketing calendar, scheduling all activities across channels and ensuring accuracy and relevancy  

+ Work cross-functionally with Wholesale team to support selling materials for partners and strategic channels  

+ Responsible for digital and creative asset management for the Marketing team, and broader organization where necessary

PR Coordinator

THE ROLE:

Under the guidance of Marketing team leadership, this position is responsible for supporting media and influencer relations including sourcing and vetting potential opportunities and coordinating PR campaigns. The PR Coordinator will work closely with the PR + Partnerships Specialist to execute strategic influencer and brand partnerships that align with Smash + Tess’ marketing goals and brand values. A successful candidate will be organized and able to juggle multiple projects at once and possess strong interpersonal and communication skills. 

KEY RESPONSIBILITIES:

+ Daily tracking and recording of media and influencer hits 

+ Initial vetting of press inquiries from internal press inbox, flagging opportunities or high priority action items  

+ Media and influencer prospecting 

+ Proactive outreach to and vetting of influencers for gifting or partnership opportunities 

+ Coordinate paid opportunities and affiliates as advised 

+ Source PR gifting materials including custom boxes, wrapping, etc.  

+ Support with planning and executing PR mailers aligned with marketing campaigns  

+ Manage incoming gifting requests and fulfill in a timely manner 

+ Support on tracking and reporting on results from gifting

Brand Sales Representative (West Coast)

The Inside Sales Representative is responsible for passionately representing the Smash + Tess brand on the west coast of Canada. Reporting directly to the Manager, Strategic Channels, and supported by the wholesale team, this role will be critical in developing strong, long-term relationships with current clients and adding new prospects.  

KEY RESPONSIBILITIES:

+ Passionately represent the S+T brand on the west coast of Canada (BC, AB, SK, MB and YT)

+ Develop strong, ongoing relationships with S+T wholesale vendors

+ Manage current west coast clients, ensuring an exceptional level of service is delivered and maintained

+ Develop an effective plan to demonstrate ROI and deliver sales growth

+ Actively seek new wholesale clients via industry standard methods - trade shows and showroom sales 

+ Explore and develop new, creative ways to showcase the S+T brand (virtual buying)

+ Seasonal planning, order entry and management from pre-booking to shipping

+ Exceed monthly, quarterly and annual sales targets with support from the wholesale team

DISTRIBUTION CENTRE MANAGER

The Role:

The Distribution Centre Manager is responsible for ensuring our warehouse operations are run as effectively and efficiently as possible.  Reporting directly into the Chief Operating Officer, this role will also be critical in determining a distribution and logistics strategy to match our future growth goals across Canada and the US. 

Supervisory responsibilities:

This role overseas a team of supervisors as well as the full-time and part-time warehouse associates.

Key responsibilities:

This role plans, manages, and oversees:

+ order fulfillment – creating and implementing strategies for efficient and productive pick and pack workflows and goals

+ warehouse capacity and product organization – work with the production team to manage incoming inventory deliveries and creating necessary space to stock them

+ product and supply inventory management – oversee quality checks, inventory counts, supply ordering, and variance reconciliations

+ logistics and delivery – work closely with different carriers to ensure timely and cost effective delivery

+ staff management and development –ensuring the warehouse team is scheduled effectively to meet daily and weekly demands, while supporting their ongoing learning and development

+ staff health and safety – ensuring the team is working in a safe and clean environment that follows applicable health standards and regulations

+ future operations – working with the COO in creating strategies to scale and modernize our distribution and logistics operations

QUALITY ASSURANCE SPECIALIST

We are looking for a Quality Assurance Specialist to join our product team and ensure our Rompers live up to the hype!

Responsibilities include:

+ Weekly in-line inspections at key factories to inspect on going, Cutting, Sewing, trimming and packing.

+ Inspect final shipments before garments leave the factory.

+ Check and confirm bulk fabric deliveries to factories against packing list.

+ Coordinate trim and sample delivery / collection between factories and HQ

+ Work cross functionally with the Production Coordinator, Product Developer and factory manager to resolve any issues in a timely manner.

Order Fulfillment Associate

Smash + Tess prides itself on providing the absolute best experience - from customer service, planning, production to order fulfillment. As a key member of the team, our Order Fulfillment Associates are responsible for not only providing the correct product to our customers, but also the best experience when our customers receive their product. Packaging by-hand means that products are treated with the ultimate care up to the point of the customer receiving their item. 

The Role

The Order Fulfillment Associate will perform an array of functions including but not limited to: Receiving and processing incoming product, picking and filling customer orders, organizing product stock and processing returns, exchanges and damages in a timely manner. The candidate must have strong interpersonal skills, be able to work alone as well as with a team, and must be able to meet project timelines. With a small but mighty team, working at a fast pace and with the highest efficiency is critical to the success for this role, along with a love of Rompers and similar products. 

In addition to our core roles, our team members take pride in the organization and cleanliness of the warehouse by constantly upkeeping and improving it to ensure efficient and effective workflow. Regular inventory counts are also required, and excellent counting skills and a detailed focus mindset are key to the success of this role.
